How to Protect Your Valuable Forms
We have customer firms with seven-figure investments in their form libraries, so protecting those intellectual property assets have become a priority.
Our recommendations, in order and available to all firms no matter their size, are these.
- Create a Gold Master by making a perfect copy of each original form and securely storing it in a location that is difficult to access, such as a fireproof office safe or locked filing cabinet in a secure area. This assures that an original form remains intact and available as an unaltered source if the “everyday” template fails.
- To protect against overwriting:
- Make certain that the Word forms are saved as Templates rather than Documents.
- Store the templates in a Read Only folder.
- Include the templates folder in your routine backups.
- Move a backup copy offsite at regular scheduled intervals.
For Doxserá, Doxserá DB, and Aurora owners, use the Authoring command under the Options menu to restrict Users from using any of the Author tools. DB User defaults to this setting and goes a step further by hiding the Author tools on the menu bar.
